We are seeking a highly organized and tech-savvy Virtual Assistant to help us streamline operations, coordinate tasks, and support our growing business and nonprofit activities.
Role Overview
The Virtual Assistant will play a critical role in supporting the founders by handling administrative, operational, and strategic tasks. This role requires excellent communication skills, attention to detail, proficiency with technology, and the ability to work independently.
Responsibilities
1. Social Media and Content Management
Schedule posts for all social media platforms using content calendars.
Collaborate on social media strategies to improve engagement and reach.
2. Google Workspace and Organization
Organize and maintain files in Google Workspace and Drive for easy access.
Ensure that documents, contacts, and materials are up-to-date and well-structured.
3. Fashion Trend Research
Research industry trends and provide insights to plan future product designs.
4. Contact and Partner Management
Organize and update contact lists.
Reach out to partners and collaborators to maintain relationships and foster opportunities.
5. Email Marketing and AI Automation
Use platforms like Zefdy to create and send email marketing campaigns.
Work with AI tools to draft and send emails, improving automation processes.
6. Grants and Fundraising
Follow up on ongoing grant applications and communications.
Collect and organize data for new grant applications.
7. E-commerce and Advertising Support
Coordinate with e-commerce and advertising teams to ensure alignment and execution.
Review websites to ensure functionality and resolve any issues.
8. Data Analysis and Reporting
Collect, analyze, and compile data into reports.
Provide insights and recommendations for business improvements.
9. Process Improvement and Technology
Research new technologies and tools to improve operations and processes.
10. Coordination with Kenyan Team
Coordinate with the Kenyan team for supplies, ordering products, and program support.
11. Administrative Support
Data entry and preparation of documents for grants, operations, and programs.
Assist the founders with tasks related to operations, admin, shipping, commerce, fashion, and partners.
Requirements:
Proven experience as a Virtual Assistant or in a similar role.
Excellent organizational and communication skills.
Proficiency with Google Workspace, Mailchimp, and other relevant tools.
Experience in social media management and scheduling.
Strong research and analytical skills.
Ability to work independently and manage multiple tasks.
Interest in fashion, sustainability, and women’s empowerment is a plus.
Familiarity with AI tools and automation is a bonus.
